What I built
The workflow extracts the email payload, checks Airtable for previously processed email, asks Gemini for structured meeting details, validates the result, and creates a calendar entry when the required details are complete.
Where a person stays involved
Incomplete or ambiguous extractions are routed to an Airtable review queue with an email alert. The automation has a place to send uncertainty instead of guessing at the missing information.
Scope and limitations
Duplicate-email detection helps avoid processing the same request twice. It does not establish whether another meeting already occupies that time. Availability checking and preparation buffers are not claimed as verified capabilities of this version.
Estimated impact
The source models 25 scheduling emails per month at four minutes of manual handling each, approximately 1.7 hours of capacity. This is an illustrative estimate, with actual savings dependent on volume and the number of requests needing review.
